1._Club Rules

1.1. Introduction

SVTE Karate-Do is committed to maintaining a respectful, safe, and inclusive environment for all members. These rules outline the expectations for behaviour and conduct to ensure that training remains enjoyable, productive, and safe for everyone.

1.2. General Conduct

  • All members must conduct themselves with respect, integrity, and courtesy at all times.
  • Bullying, harassment, or discrimination of any kind (including verbal, physical, or online) will not be tolerated.
  • Respect should be shown to fellow students, instructors, visitors, and parents/guardians at all times.
  • Members must always follow the instructions of instructors and senior club officials.
  • Foul language, aggressive behaviour, or any form of misconduct will result in disciplinary action.

1.3. Training Etiquette

  • Arrive on time for classes. If late, wait for the instructor’s permission before joining the session.
  • Bow upon entering and leaving the training area as a sign of respect.
  • Ensure training attire (e.g., gi, shorts, rash guards) is clean and appropriate for sessions.
  • Remove all jewellery before training for safety reasons.
  • Maintain good personal hygiene, including clean hands, feet, and trimmed nails.
  • Students must show respect by acknowledging training partners and instructors before and after drills.
  • Controlled and disciplined practice is required at all times—excessive force or recklessness will not be tolerated.
  • No food, drink (except water), or gum is permitted on the training floor.

1.4. Safeguarding & Welfare

  • The welfare of all students is paramount. If any member has concerns about safety or safeguarding, they must report it to the Sensei Victor the Club Safeguarding Officer immediately.
  • Children under 18 must be dropped off and collected by a responsible adult.
  • Parents/guardians are welcome to observe training sessions but must do so respectfully without interrupting the class.
  • Any inappropriate, unsafe, or concerning behaviour must be reported immediately.

1.5. Health & Safety

  • All members must complete a medical disclosure section of the member’s online account before training. This must also be kept up to date.
  • If feeling unwell or injured, members must inform an instructor before training.
  • Only appropriate protective equipment (e.g., gloves, mouthguards) should be used.
  • No sparring or contact training is allowed without an instructor’s supervision.
  • Emergency contact details in the member’s online account must be kept up to date.

1.6. Club Membership

  • Any changes to contact details must be reported to the club immediately.

1.7. Parental/Guardian Expectations

  • Parents/guardians must ensure their child arrives on time and is collected promptly.
  • Encouragement and support should be given, but coaching from the sidelines is not permitted.
  • Any concerns should be addressed through appropriate channels (e.g., speaking to an instructor at an appropriate time).

1.8. Use of Social Media

  • Members must conduct themselves appropriately online in relation to the club.
  • Negative, defamatory, or inappropriate comments about the club, instructors, or fellow members will not be tolerated.
  • Any use of social media that brings the club into disrepute may result in disciplinary action.

1.9. Disciplinary Procedures

  • Failure to comply with these rules may result in warnings, suspension, or permanent exclusion.
  • Serious breaches of conduct may result in immediate suspension.
  • All disciplinary matters will be handled fairly and in accordance with club policies.
  1. ASSUMPTION OF RISK

2.1. Introduction

Martial arts training, whether conducted in person or online, involves a level of physical exertion and carries an inherent risk of injury. This document serves as an assumption of risk form for students participating in online training sessions provided by SVTE Karate-Do. By signing the SVTE Karate-Do registration form (or parent if student is under 18), acknowledgement of the risks associated with remote training are confirm with voluntarily participation in the sessions.

2.2. Risks Associated with Online Training

Unlike in-person training, online training presents additional risks, including but not limited to:

  • Absence of direct supervision and hands-on correction.
  • Potential for improper form or technique leading to injury.
  • Limited ability for the instructor to monitor fatigue,
    overexertion, or other physical distress.
  • Environmental risks such as inadequate space, trip hazards, or unsuitable flooring.
  • Technical issues, including video/audio disruptions affecting
    instruction.

2.3. Student Responsibilities

As an online participant, the student (or parent if student is under 18) understands responsibility for ensuring a safe training environment by:

  • Clearing training space of any obstacles and hazards.
  • Using appropriate flooring or mats to reduce impact injuries.
  • Ensuring a stable internet connection to receive uninterrupted instruction.
  • Wearing suitable training attire and using any recommended protective equipment.
  • Listening carefully to instructions and stopping immediately if any discomfort or pain is felt.
  • Informing the instructor of any injuries, medical conditions, or physical limitations before training.

2.4. Instructor Responsibilities

The instructor will take all reasonable steps to ensure safe and effective online training, including:

  • Providing clear, structured lessons with modifications where necessary.
  • Offering guidance on proper technique to minimise injury risks.
  • Providing verbal corrections and adjustments as required.
  • Recommending safety measures and best practices for home training.

2.5. Acknowledgment of Risk and Waiver of Liability

The student (or parent if student is under 18) acknowledges voluntarily participation in online martial arts training sessions with SVTE Karate-Do and understand the risks involved, fully accepting responsibility for any injury, loss, or damage that may occur as a result of participation.

By signing the SVTE Karate-Do registration form, the student (or parent if student is under 18) waive and release SVTE Karate-Do, its instructors, directors, and any associated personnel from any liability, claims, or demands arising from the student’s participation in online training.

The student (or parent if student is under 18) confirm good health and physically capable of engaging in martial arts training.
If there is any doubts about the student’s fitness or health status, medical advice will be sought before participation.

2.7. Confirmation and Signature

By completing the SVTE Karate-do registration form the student (or parent if under 18) confirm having read and understood this Assumption of Risk form and agree to its terms.

 

  1. Photography & Videography Policy

3.1. Introduction

SVTE Karate-Do recognises the benefits of photography and videography in promoting our club, celebrating achievements, and documenting training sessions and events. However, we are also committed to safeguarding our members, particularly children and vulnerable individuals, and ensuring compliance with UK GDPR (General Data Protection Regulation) and data protection laws.

3.2. Scope

This policy applies to all members, instructors, staff, volunteers, spectators, parents/guardians, and external photographers capturing images or videos during any SVTE Karate-Do activities.

3.3. Purpose of Photography & Videography

Photography and videography may be used for:

  • Promotional material, including club websites and social media platforms.
  • Educational and training purposes.
  • News articles, local media, and sports publications.
  • Club archives and historical records.

3.4. Consent & GDPR Compliance

Under UK GDPR, photographs and videos of individuals are considered personal data. As such, SVTE Karate-Do will:

  • Obtain written consent from individuals (or their parents/guardians if under 18) before capturing or using their images/videos.
  • Ensure consent is recorded and securely stored.
  • Allow individuals to withdraw their consent at any time by contacting contact@svte.co.uk.
  • Ensure that photographs and videos are used in a responsible and appropriate manner.
  • Not use images or videos for purposes other than those explicitly stated at the time of consent.

3.5. Club Photography & Videography Rules

To ensure safeguarding and compliance, SVTE Karate-Do enforces the following rules:

  • Photography or videography during sessions must be authorised by the club’s management.
  • Any images or videos taken by instructors or staff must align with safeguarding best practices.
  • Images must not be used inappropriately or manipulated to cause harm or embarrassment.
  • Students will not be identified by full name without explicit additional consent.
  • No photography or filming will be permitted in changing rooms or other private areas.
  • Photography at competitions or events will follow the respective event organiser’s policy.

 

3.6. Safeguarding Considerations

SVTE Karate-Do takes safeguarding seriously and will:

  • Ensure all instructors and staff understand safeguarding responsibilities regarding photography.
  • Ensure any concerns about photography are reported immediately to the club’s safeguarding officer.
  • Respond swiftly to any complaints or issues regarding inappropriate image use.
  • Protect the identities of children or vulnerable individuals who have opted out of photography.

3.7. Third-Party & Public Photography

If an external photographer or videographer is used (e.g., for promotional purposes), they must:

  • Be vetted and approved by SVTE Karate-Do.
  • Sign an agreement confirming compliance with GDPR and safeguarding policies.
  • Not use images/videos beyond the agreed purpose.

At public events, spectators may wish to take photos or videos. SVTE Karate-Do will remind attendees to do so responsibly and in compliance with safeguarding policies. If any individual objects to being filmed or photographed, their request must be respected.

3.8. Handling Concerns & Complaints

If any member, parent, or guardian has concerns about photography or videography:

  • They should raise their concerns with the club’s safeguarding officer or management.
  • Any inappropriate or unauthorised use of images will be investigated, and action will be taken where necessary.

3.9. Image & Video Storage

All images and videos taken for club use will:

  • Be stored securely and only accessible by authorised personnel.
  • Not be retained for longer than necessary.
  • Be deleted upon request where consent has been withdrawn.
